2. Data we collect
When you submit an enquiry we collect your name, email address, selected session type, optional wallet-count notes, and message content. When you attend a session we may keep appointment times, fee records, and session notes you ask us to retain (for example a pencil copy of your board). Server logs may record IP address and basic browser data for security.
3. Purpose and legal basis
We use enquiry data to respond and schedule sessions. We use session records to deliver the service you requested and to handle refunds or rescheduling. Where required under the Personal Data (Privacy) Ordinance (PDPO) of Hong Kong, we rely on your voluntary supply of data for these purposes and on our legitimate need to operate the practice safely.
4. Retention
Enquiry messages without a booked session are deleted within 12 months. Client booking and payment records are kept for up to 7 years for accounting. Optional board copies are kept only while you ask us to store them, then destroyed or returned.
5. Sharing
We do not sell personal data. We may share data with email or hosting providers who process it on our instructions, or when required by law. We do not share the contents of your allocation board with third parties without your written request.
6. International transfers
Our primary operations are in Hong Kong. If a processor stores data outside Hong Kong, we take reasonable steps to ensure comparable protection consistent with PDPO expectations.
7. Your rights
You may request access to personal data we hold about you, correction of inaccuracies, and, where applicable, erasure of enquiry data no longer needed. Contact contact@integrateclouds.digital. We respond within a reasonable period and may need to verify your identity.
